CONGRESS ABSTRACT

Irrespective whether your presentation is oral communication or a poster, Congress organisers will ask you to submit an Abstract of your presentation. These are published in the Abstract Book and need to follow a strict format. This is the first thing that you need to consider; writing the text in the requested format. Otherwise they do not like it, because the organisers need to revise it to fit the right format, and that all causes extra work. Use exactly the style, font and frame to fill the space allocated to each abstract. Simple as it sounds, a remarkable heterogeneity is sometimes seen in the Abstracts Books, indicating how loosely the authors interpret simple instructions!

In some Congresses, the organisers might also give you instructions about the content of the Abstract. The two options are 1) structured abstract, and 2) non-structured text. Some instructions may go even further, by giving advice to avoid certain statements in the text. The most common example is to avoid the statement: "Results will be discussed in Congress". This type of statement is not of any use for the reader, and should be absolutely avoided. Instead, all efforts should be made to include specific results in the abstract text, as much as possible.

A good idea might be to write the first draft to fill one A4 page, and then modify it into the requested format. Then you learn to cut off superfluous statements and make your text more concise. This is very helpful particularly when the word count of the abstract is limited.

POSTERS

Viewing a poster session in a Congress is always a rewarding experience. There you meet the real "diversity of species", despite the fact that the organizers have given detailed instructions how to prepare the Posters. What they instruct, however, is usually only the dimensions of the poster stand, and everything else will be upon discretion of the authors.

There are many ways to fill the given space. The simplest solution is to print the data on separate A4 sheets and arrange the individual pages to cover the whole stand. Some 20 years ago, this was the prevailing approach. Today, however, this mode of presenting the poster is rarely seen any longer, but most are presented in the form of a solid poster, printed with a special printer suitable for large formats. A frequently used poster format is 90x120, but even larger size is technically possible.

This modern Poster technology utilises the capabilities of the powerful graphics- and publishing software, together with the necessary hardware for printing. The latter are expensive, however, and preparing and printing a Poster for Congress is not inexpensive.
